Privacy policy

1. Introduction

Optas, LLC (“Optas Capital”, “we”, “our”, “us”) is a Registered Investment Adviser. This policy explains what personal information this website —www.optascapital.com — collects, why, and what we do with it. It covers the website only. If you are an advisory client of Optas, LLC, the privacy notice you received under Regulation S-P governs the information we hold about you as a client, and it takes precedence over this page.

2. Information we collect

Information you give us. The only place this website collects personal information is the form on our contact page. When you submit it we receive your first and last name, email address, phone number, the area you selected as being of interest, your message, and how you were referred to us.

Information collected automatically. Like any website, ours is served by a hosting provider that keeps standard server logs. These record the IP address the request came from, the time, the page requested, and basic browser and device information. We do not use these logs to identify individuals.

What this website does not do. It carries no advertising, no social media tracking and no third-party embeds, so no network other than the one described below can observe your visit. It does not build profiles of you, and it does not process payments.

3. Cookies and analytics

This website uses Google Analytics 4 to count visits and see which pages people read. It is off until you turn it on. On your first visit a notice asks whether you accept analytics cookies; until you press Accept, no Google script is loaded, no request is made to Google and no cookie is set. Pressing Decline, or simply ignoring the notice, leaves analytics switched off.

If you accept, Google Analytics sets two cookies in your browser, named _ga and _ga_<measurement id>. They identify a returning browser rather than a person, and they expire two years after your last visit. Google states that Google Analytics 4 does not log or store IP addresses. We use the data only to understand how the site is used. We do not use it for advertising, and advertising and personalisation storage are refused by this site regardless of your choice.

You can change your mind at any time — open the cookie notice again. Clearing your browser storage for this site has the same effect.

4. Why we use it

  • To respond to you. We use what you submit through the contact form to reply to your enquiry and, if it goes further, to discuss whether our services suit your circumstances.
  • To keep the site running and secure. Server logs are used to operate the site, diagnose faults and identify abuse.
  • To meet our legal and regulatory obligations. As a Registered Investment Adviser we are subject to recordkeeping requirements, and we may need to retain correspondence accordingly.

We do not use your information for marketing unless you ask us to, and we do not sell or rent personal information to anyone.

5. Who else sees it

We share personal information only with organisations that help us operate this website and our practice, and only to the extent they need it:

  • Netlify — hosts the website and processes contact form submissions on our behalf.
  • Google LLC — provides Google Analytics, and only if you have accepted analytics cookies. Google processes this data in the United States.
  • Microsoft — hosts our email. Contact form submissions are delivered to our mailbox there. No customer-relationship system receives them.

We may also disclose information where the law, a regulator or a court requires it, or where it is necessary to establish or defend legal claims. If the practice were ever sold or reorganised, information could transfer as part of that transaction.

6. How long we keep it

We keep contact enquiries for as long as we need them to deal with your enquiry and anything that follows from it. Where correspondence relates to our advisory business, SEC recordkeeping rules require us to retain it for at least five years.

Server logs are retained by our hosting provider for its standard period and then discarded.

7. How we protect it

The site is served over HTTPS only, with HTTP Strict Transport Security, a Content Security Policy and other protective response headers in place. Form submissions are transmitted encrypted. No system is perfectly secure, and we cannot guarantee absolute security, but we take the safeguarding of personal information seriously and it is a standing obligation of ours as a Registered Investment Adviser.

8. Your choices and rights

You can ask us for a copy of the personal information we hold about you, ask us to correct it if it is wrong, or ask us to delete it where we are not required to keep it. You can also ask us to stop contacting you at any time. Depending on where you live you may have additional statutory rights. Optas provides investment advisory services in the United States, and this website is directed at United States residents.

Analytics cookies are the only cookies this website uses, and they are set only if you accept them. You can withdraw that consent at any time from the cookie notice — see section 3. Declining costs you nothing: every part of the site works either way.

9. Third-party links

Some pages link to sites we do not control — for example our Form CRS on the SEC’s adviser disclosure site, and Google Maps. This policy does not apply to them, and we are not responsible for their privacy practices.

10. Changes to this policy

If we change how this website handles personal information we will update this page and change the date at the top. Material changes will be described here rather than made silently.
